SBritetechs Software Licenses Policy

1. Purpose
The Britetechs Software Licenses Policy outlines guidelines for the proper acquisition, usage, management, and monitoring of software licenses. This policy ensures compliance with software licensing laws, reduces the risk of software piracy, and promotes the cost-effective use of authorized software across the organization.
2. Scope
This software licensing policy applies to all Britetechs employees, contractors, and third-party partners who use software on company devices or access the Britetechs network. It includes both company-owned software and software used for business purposes on personal devices.
3. Software Acquisition Guidelines
- All software must be legally purchased or licensed through authorized channels.
- The IT department oversees all software license purchases and approvals.
- Software not procured through the IT department will be reviewed and may be removed.
- Open-source software can be used if its license terms are clearly understood and followed.
- All purchases must adhere to the vendor licensing agreement, including restrictions on the number of users or installations.
4. License Management
- The IT department will maintain a software license inventory with details like software name, version, license count, and expiration date.
- Unauthorized software installation is strictly prohibited.
- All software installations must be logged and tracked to ensure license compliance.
5. License Usage Rules
- Software must be used according to its license agreement terms, including usage limitations, installation limits, and restrictions on redistribution.
- Software cannot be shared outside Britetechs unless explicitly allowed by the license.
- Employees are responsible for legal software use in line with this policy.
6. Compliance and Software Audits
- Britetechs will conduct periodic software compliance audits to ensure adherence to licensing laws.
- Employees found using unlicensed software will face disciplinary action, which may include termination.
- Non-compliant software will be removed or replaced immediately.
7. Software Updates and Security Patches
- All software must be kept updated with the latest security patches and vendor updates.
- The IT department will monitor and apply necessary updates to maintain compliance and security.
8. Third-Party Software
- All third-party software (including software from contractors or clients) must meet Britetechs’ licensing standards.
- The IT department must approve all third-party software before installation.
9. Enforcement
- Compliance with this software policy is mandatory.
- Violations may result in revoked software access or other penalties.
- Employees must report unlicensed software use immediately to IT or their supervisor.
10. Policy Exceptions
- Any exceptions must be approved in writing by the IT department and documented for records.
11. Policy Review
- This policy will be reviewed annually to align with software compliance best practices and evolving legal requirements.
